GAICOM Hackathon 2025 – Terms and Conditions
GAICOM (Generative AI for Community) is a nonprofit educational initiative run by experienced volunteers and instructors passionate about teaching technology, coding, and AI to the next generation. By registering your child for a GAICOM Hackathon, you acknowledge and agree to the following terms and conditions:
Event Location
The GAICOM Hackathon is an in-person event held in West Orange, New Jersey. Exact venue details, schedule, and check-in instructions will be shared with registered participants via email prior to the event. All participants must be dropped off and picked up by a parent or guardian at the designated times.
General Disclaimer:
GAICOM is committed to providing a fun, safe, and educational environment for students to explore technology and build innovative projects. However, we do not guarantee that the programs or projects will meet any specific educational objectives or industry standards. GAICOM does not provide certifications or accreditations recognized by any educational or governmental body.
All instructors and mentors are volunteers or affiliated with GAICOM partner organizations and may include students, teachers, or professionals with relevant experience.
Waiver of Liability & Claims
While GAICOM takes reasonable precautions to provide a safe and supervised environment during the hackathon, participation is at the child’s and parent’s own risk. By registering, the parent or legal guardian agrees to release, waive, and hold harmless GAICOM (Generative AI for Community), its organizers, volunteers, instructors, venue partners, and affiliates from any and all liability, claims, or demands arising out of or related to any loss, injury, accident, or illness that may occur during or in connection with attendance, participation, or travel to and from the event. Parents acknowledge that normal activities—including walking, using equipment, or moving around the venue—may involve minor risks, and GAICOM or its partners (venue owners, partners, affiliates) shall not be held responsible for any resulting incidents except in cases of proven gross negligence or intentional misconduct.
Intellectual Property & Code Usage
Any code, ideas, or inventions created by participants during the GAICOM Hackathon may be used by GAICOM on a royalty-free, perpetual, and non-exclusive basis for nonprofit educational and community benefit purposes.
GAICOM reserves the right to showcase, adapt, or incorporate submitted projects, in whole or in part, into other nonprofit tools, applications, or educational materials. By participating in the hackathon, you grant GAICOM this right without additional compensation, while retaining personal rights to your own work outside of GAICOM.
Participants may also continue to use, develop, and build on their own projects freely after the event.
Registration & Participation

Registration for the hackathon must be completed by a parent or legal guardian of any participant under the age of 18.

The GAICOM Hackathon is open to children between the ages of 9 and 17.

There is a $15 registration fee per participant, required to reserve a spot in the hackathon.

This fee is non-refundable, even in cases of cancellation or no-show, and helps cover event costs such as materials, snacks, and prizes.
Conduct & Safety
GAICOM strives to create a welcoming, inclusive, and respectful learning environment for all participants. By enrolling your child, you agree to the following:

Participants will be supervised by volunteers and mentors during the event.

GAICOM is not responsible for any illness, injury, or personal property loss during attendance at in-person events or while traveling to/from the venue.

Parents and guardians are expected to drop off and pick up their children on time at designated locations.
Technology Usage & Content

Participants may use a range of technologies including ChatGPT, Scratch, Java, Python, and other tools for project development.

All content and learning materials provided during the hackathon are for personal educational use only and may not be copied, sold, or used for commercial purposes.

GAICOM may capture photos, videos, or screenshots of the event. These may be used in future promotional or educational content unless you opt out in writing before the event.
Parent/Guardian Certification
By submitting the registration form, you certify that:

You are the legal parent or guardian of the child(ren) you are registering.

You have read, understood, and agreed to these Terms and Conditions.

You understand that this is a nonprofit educational event, and GAICOM, its volunteers, and partners are not liable for any incidental outcomes resulting from your child’s participation.

You agree to pay the $15 non-refundable Hackathon registration fee per child.
You also acknowledge and agree to any additional guidelines or policies communicated via email, registration forms, or on the GAICOM website.
